The Segments Tool is how we interrogate data in GoodCRM. We can build lists, perform bulk actions and view useful stattistics about our data.
Using the Segments Tool
Accessing the Segments Tool
You can access the Segments Tool from the Tools & Settings menu.
1. Choose Tools & Settings from the top-right menu
2. Navigate to the Segments tool
3. You'll see your existing segments
Adding a segment
Segments you add will appear in your Segments list.
1. Click the Add a segment button
2. Give your Segment and name, and choose the data-type you're interested in, click Save
3. Your new Segment has been created. You need to add some criteria in order to use it
4. Click the ADD CRITERIA button. A new line of criteria is added
5. Create your first line of critera
In our example, we have created the criteria:
Searching for People where:
[ Person Type ] [ Has any of ] [ Witch (or) Wizard ]
6. When we look at our Results tab, we see all people tagged as a witch or a wizard
7. We can click Edit to make changes to the Segment, let's add another line of criteria
We click AND because we want both lines of critera to be met for our segment.
Now we have created the following criteria:
Searching for People where:
[ Person Type ] [ Has any of ] [ Witch (or) Wizard ]
AND
[ Age ] [ Has any of ] [ Under 16 (or) 16-24 ]
8. When we look at our Results tab, we see all people tagged as a witch or a wizard who are 24 or under:
Performing bulk actions on a segment
You're able to perform a variety of bulk actions on a segment:
Deleting Data
If you wish to delete all the data in a segment, you may use the Recycle All or Permanently Delete All buttons. Recylcing takes longer.
Deleting data removes it from your CRM, not just your segment.
Adding or Removing tags
You can add tags to or remove tags from each item in your Segment results in bulk.
Select the Tag field you wish to add and/or remove tags from, then add a comma-separated list of tags to add and/or remove in the respective fields.
Click Save to process the changes
Adding participants to an event
For People segments, you can add members of the segment as participants to one or more events.
Just select your event(s) and click Save
Using Chained Segments to find data across types
Although Segments are specific to one data-type, it is possible to chain segments to get insights across linked data too. We chain Segments by using one segment as criteria in another. We can do this whenever we have a Connection field between the two data-types.
For example, we could create one segment to find certain events:
Segment: Youth theatre Group 2022 Events
Searching for Events where:
[ Project ] [ Has any of ] [ Youth Theatre Group ]
AND
[ Date ] [ Is between ] [ 01/01/2022 ] and [ 31/12/2022 ]
Then we could have a second segment which finds people linked as Participants to those events:
Segment: Youth theatre Groups 2022 Participants
Searching for People where:
[ Events > Participants ] [ In Segment ] [ Youth Theatre Groups 2022 Events ]
In this example Events > Participants is short hand for People connected to events via the Participants connections field.
Exporting Data
Exporting your segment data is simple! Just click on the Export button, this will generate a spreadsheet containing all the data for items matching your segment criteria.
Viewing statistics about your segment
To view statistics about your Segment, click on the Statistics tab. Here you'll see any useful information we can display from the data stored in your Custom Fields. For a guide to which custom fields display data and in which format, see the article All Custom Field Types.
Where chained segments are in play, we'll see occurence data - for example, in the image below we can see that 10 people attended all 3 events creating a total of 30 occurences.

Adding Targets to your Segments Statistics
You can add targets to Numerical statistics to see how the actual figure compares to a target. Read more about producing Numerical Statistics here.
1. In the Statistics tab, find the numerical read-out and click Add target
2. Set the name and target amount, then click Save
3. Click back onto the Statistics tab to view the target
Adding Badges to Segments
Badges are a super-useful way to see visually if a person or organisation belongs to a particular segment, or in other words, matches a particular set of criteria.
1. Click on the blank badge on a Segment to create a new badge
2. Choose the colours for you badge
3. Set your graphic and badge label and click Save
4. Anybody person or organisation in this segment will now have this badge on their profile
