Activity - Programmes, Projects & Events overview

When it comes to recording your organisation's activity, we've got you covered. This is an often overlooked, and in our view, essential element for most charity CRMs. Activity is often the starting point for Segmentation, Reporting, Monitoring and Evaluation.

We refer to this sort of data as Activity but, but in fact this part of the system is made up of four hierarchical levels:

Programmes are top-level groups, or strands, of activity. As well as Programme Information, Programmes contain Projects.

Projects are used for activity that happens over a period of time, as well as Project information, projects contain Events.

Events are activity that takes place on a single day. As well as Event information, Events can have attendance registers and can be sub-divided into Activities.

Activities can be used to sub-divide events, for example, into an AM and a PM session.


Examples of how Programmes, Projects, Events and Activities are used

Different type of organisations use the Activity sections in different ways, here are some examples:

Touring Theatres

Programmes

Each Programme might represent a different productions. Information stored might include: press photos, production assets, connections to the writers and director.

Projects

Each run of a production might be stored in a project. Information stored may include things like: the venue for this run, the dates, key contacts at the venue and in the local area etc.

Events

Each Event might represent an individual performance of run and might store information such as the number of tickets sold, the performance date and time and so on.

Activities

Each Part of a performance might be recorded as an Activity.

Each Programme might represent a different strand of work.

Projects

A Project may represent a series of workshops.

Events

Events would be used to record each workshop and might contain attendance registers.

Activities

Workshops may be sub-divided into an AM and a PM session using activities.

You can create different forms for different types of activity and mix and match forms as much as you like throughout all the Activity sections.
