The Mailouts Tool

Learn how to create and send bulk emails via GoodCRM

Whilst the Mailouts feature is no substitute for dedicated email marketing platforms, it's a great way to send personalised email messages to groups of people directly from your CRM.

Before sending your first mailout, ensure you email template settings have been configured.

Installing the mailouts app

You can install Mailouts from the App Store.

1. Choose App Store from the top-right menu

2. Navigate to the Mailouts app, and click Install


Adding a mailout

You can add a Mailout from the Mailouts section in GoodCRM.

1. Click on the Mailouts Menu Item

2. Choose the type of Mailout you wish to send

You'll also find short-cuts to create Mailouts from the Segments list page, from an Event or Project and from the Memberships dashboard.

3. Click the Send a Mailout button.

You'll be taken to the Compose Mailout screen.

On the left you can set who the Mailout will be sent to, the subject and message for your Mailout. On the right you'll see a preview of your Mailout.

4. Set the to options to determine who will receive your Mailout

The options to determine your recipients vary by Mailout type, see details below.

5. Write your subject and email content, then click Send to immediately send your mailout


Segment mailout settings

You can send a mailout to one or more Segments using a Segments Mailout.

Simply choose the segments you wish to include in the to field.

If the same person appears in more than one selected segment, they will still only receive the email once.

If the person has more than one email address, only their first email address will be used.


Member mailout settings

If you use the Memberships add-on, you can send mailouts to Members.

Simply choose the membership status(es) you wish to include:

Pending members are considered Active for the purposes of Member Mailouts.

If the person has more than one email address, only their first email address will be used.


Event mailout settings

You can send a Mailout to Participants of an Event (or someone connected to the participant, for example a parent/guardian.

1. Choose the Event you wish to send the Mailout for:

You can choose the Participant or any person connected to the participant.

3. Choose your template

For Event mailouts, in addition to the standard template, which includes the recipient's first name, we have a template which also brings in the participant and event details.


Project mailout settings

You can send a Mailout to Participants of all Events in a Project (or someone connected to the participant, for example a parent/guardian).

3. Choose your template

For Project mailouts, in addition to the standard template, which includes the recipient's first name, we have a template which also brings in the participant and event details.
