Managing a Membership

Learn how to cancel memberships or access the members portal to make changes on behalf of a member.

Sometimes you may wish to edit a membership on behalf of a member.

You can do this using the Manage for member function.


Managing a Membership


Accessing the Membership Management menu

1. Navigate to the memberships section

2. From the Memberships Home Page, click on Manage Memberships

3. Search for the member’s name or membership number to find the membership

4. Open the Member Management menu by clicking on the three vertical dots in the top-left panel

This will then open up the membership management pages as if you were the member. You may perform any actions you wish upon the members’ behalf.

1. Click on the Manage for Member option in the Membership Management menu

2. You will now see the options a member sees and can make any changes you like to their profile or payment information on their behalf


Cancelling a membership

Members are able to cancel memberships via the Membership Management Portal, but sometime you may wish to cancel a membership yourself.

You can do this using the Cancellation functions.

1. Access the Membership Management menu by following these steps

2. Click on a cancellation option

Cancel membership

Clicking the Cancel membership option will cancel the membership at the end of the current billing period.

Cancel (Immediate)

Clicking the Cancel (Immediate) option will cancel the membership with immediate effect.

Any Subscription will be cancelled when a membership is cancelled.

Once a membership is cancelled, it can be deleted from the Memberships List.


Removing expired subscriptions / payment methods

If a member has a Stripe or GoCardless subscription in place which is no longer active, due to the mandate being cancelled, the card having expired etc, the member may decide to pay you via some other method rather than updating their payment details.

In this case you won't be able to log their payment due to the expired subscription being linked to their account.

In these cases, where you support Offline Payments you may remove the old subscription.

When you remove a subscription / payment method on a lapsed or cancelled membership, please check that the subscription is no longer active and cancel it via Stripe or GoCardless if necessary.

1. Access the Member menu

2. Click on Remove Payment Method

The subscription will now be removed and you will be free to apply manual payments to the membership.


Adding or changing a subscription / payment method

You may occasionally need to add or change the GoGardless or Stripe subscription which is linked to a person's membership.

  1. Access the Member menu

2. Click on Add/Change Subscription

3. Copy the subscription token into the box. This can be found under Subscription Details > ID in Stripe, or at the top of the subscription page in GoCardless. Alternatively, copy and paste the whole URL from the subscription page in GoCardless/Stripe into the box. Click Check.

4. Review the details of the membership and subscription you are linking. If there is a conflict (ie. you are attempting to link a yearly membership to a monthly subscription) this screen will show an error. If the renewal date of this membership does not match the subscription renewal date, a warning will display. Proceeding with this change will alter the membership renewal date.

5. Click Proceed if you are happy to link this membership and subscription.
